Office Manager (part-time)


BlooLoc is a young High Tech company with headquarters in Hasselt and an R&D office in Leuven, Belgium. We offer smart services based on indoor positioning. Our products have applications in Logistics, Industry and Smart buildings with customers across the globe. 

 

BlooLoc is rapidly expanding as we scale our yooBeeEYE solution across Europe. To sustain and accelerate this growth, we are looking for a dynamic Office Manager to strengthen our team. In this role, you will ensure smooth financial and administrative operations, contributing to the efficiency and success of our organization. 

 

Your tasks and responsibilities 

 

As an Office Manager, you will play a crucial role in keeping our business organized and running efficiently. Your responsibilities include: 

 

Finance: 

 

  • Managing invoicing  
  • Handling incoming and outgoing payments 
  • Processing monthly expenses 
  • Collaborating with the CFO to enhance the financial structure 
  • Streamlining the invoicing process (including Peppol) 
  • Coordinating with external partners 

 

Administration & Office Management: 

  

  • Setting up and optimizing administrative processes 
  • Managing mail and telephone correspondence 
  • Ordering office and marketing materials 
  • Overseeing insurance administration 
  • Handling legal documents (NDAs, contracts, etc.) and archiving 
  • Organizing business trips and supporting C-level executives 
  • Acting as a key contact for external partners 

 

License Administration: 

 

  • Engaging with customers and preparing quotes for licensing 
  • Following up via the BlooLoc Cloud Console 
  • Managing the setup and implementation of recurring licenses

Your profile 

 

  • Bachelor’s degree in Office Management, Organisation & Management or equivalent experience 
  • Proven experience (> 5 years) in a similar role 
  • Previous experience with MS Office, Teamleader, Exact... is a major plus 
  • Excellent communication skills in Dutch and English 
  • Team player with a hands-on mentality
