In order to strengthen our services with additional expertise, we are currently looking for a "Office Assistant" for our office in Antwerp.
Responsibilities
The “Office Assistant” is mainly responsible for the day-to-day management of administrative operations and the transmission of information between management and its various internal and external contacts. You are the 1st point of contact for all matters between Antwerp and Brussels.
- 1st contact for visitors, suppliers, employees on site and their safety ;
- Creating and managing procedures for the Antwerp site ;
- Receiving administrative documents, opening and sending mail ;
- Preparing meetings (supplies and catering) ;
- Responsible for ordering consumables and office supplies and managing suppliers ;
- Building maintenance and equipment monitoring, including planning and updating maintenance inspection reports, inventories, recording compliance documents (Facility Management) ;
- Daily monitoring of the site: identification of disorders and application of the cleanliness policy ;
- Check and approve invoices (based on contracts) ;
- Integration of new employees ;
- Communication on SMT App (Antwerp only) ;
- Organization of events for employees.
Profile
- You demonstrate a successful similar experience ;
- Previous experience in Office & Facility Management ;
- You're fluent in Dutch with strong command of English. French is plus ;
- Organized with good time management, multi-tasking ;
- Good problem solver and ability to deal with complexity and solution oriented ;
- Dynamic and flexible for a work schedule : 7h30 – 16h15.
