Internal coordination, invoicing, office management, admin tasks, recruitment... this role is at the heart of UpWider's daily operations.

You will be both an organizational pillar, a close and trusted support to management, and a key player in our team.

What will your job be?

You will daily collaborate with our CEO and other stakeholders, the responsabilities will mainly be around:


1.     As the CEO’s assistant, you

·       support the CEO in his activities: administrative aspect, daily executive organisation, contracts,

·       will provide him provide with high level confidential.

 

2.     Overseeing of company’s financial transactions, you are responsible for :

·       the day-to-day accounting procedures : management records and receipt (consultants, clients, employees…), monthly invoices.

·       Provide financial and administrative support to the CEO : creation of management dashboards and activity monitoring: finance, HR, …

·       Administrative and HR payroll aspect & process for the team.

 

3.      Recruitment & Employer Branding


You will manage recruitment in close collaboration with the CEO.


  • Take ownership of the recruitment process: drafting and publishing job offers, managing applications, coordinating interviews, and following up with candidates.
  • Participate directly in interviews, providing your insights on interpersonal skills, cultural fit, and team alignment.
  • Ensure a smooth, professional and human candidate experience from first contact to onboarding.
  • Help structure and continuously improve recruitment tools and internal processes as the company grows.
  • Monitor new sourcing channels, identify relevant profiles and contribute to building a talent pipeline.

4.     Coordination

·       Work closely with the CEO to support decision-making, streamline operations, and ensure alignment across the company.

·       Serve as a bridge between the CEO and the team, translating strategic goals into actionable plans and motivating team members to achieve them.

 

5.     Cooperation / communication :

·       You take initiative, operate within delegated authority and keep management informed

·       Organize and improve administrative process

·       Office Management

You :

·       Are Fluent in English and French

·       You’re the link between our close-knit internal team (10 people) and our consultants working on-site with clients – and you brighten our days!

·       Have a professional experience on high confidentiality level (5 years min)

·       You’ve already been actively involved in recruitment processes.

·       Have a strong eye for detail, analytical, process-oriented

·       Can work autonomously, have a positive mindset and work ethic.

·       Microsoft office and particularly excel are good friends.
